RSVP Etiquette in India: How to Ask, Reply and Follow Up

RSVP comes from the French "répondez s'il vous plaît", which means "please reply". In many Indian families, the idea of replying to an invitation is still new. Relatives assume they are coming, friends assume they can decide on the day, and hosts end up guessing the headcount for the caterer.

That guess is expensive. Caterers charge per plate, and a 15 percent error on 500 guests is 75 plates. Good RSVP etiquette is not about being formal. It is about planning food, seating and rooms without stress.

Why RSVP feels awkward in India

There is a feeling that asking "Are you coming?" suggests you do not want someone. That is why the wording matters. Frame the RSVP as care for the guest, not as a test.

• "So we can arrange your stay" sounds caring.
• "Please confirm by 20 November" sounds clear.
• "RSVP compulsory" sounds rude. Avoid it.

How to set the RSVP deadline

Work backwards from your caterer and hotel deadlines. If the caterer needs final numbers 10 days before the wedding, set your RSVP date about three weeks before. You will need a week to chase the people who do not reply.

Ask per function, not just per wedding

An Indian wedding has many events, and guests often attend only some. Ask for RSVP for each function separately. Your Haldi lunch for 60 and your reception dinner for 600 need very different numbers.

Ask for the useful details only

• Number of people coming.
• Which functions.
• Meal preference, if it changes the menu: Veg, Jain, Non-veg.
• Travel dates, for outstation guests.

Do not ask for more than you need. Every extra question means fewer replies.

How to follow up without offending

First reminder, two weeks before the deadline. A general message to everyone: "Just a reminder to RSVP".

Personal reminder after the deadline. For people who still have not replied, a one to one message or a short call from the closest family member works best.

For elders, ask the family. Instead of chasing your grandfather's cousin, ask his son. One person usually replies for a whole family.

Etiquette for guests

If you are the guest, here is how to be the one everybody loves.

• Reply by the date, even if the answer is no.
• Say how many people, and do not bring extra people without asking.
• Tell them if plans change. A last minute "we cannot come" is much better than not turning up.
• Mention dietary needs early, so the caterer can plan.
